How Invoicing Works for PAYE Umbrella Contractors

Umbrella employees and directors submit a timesheet only. Paytube raises the client invoice and pays you through PAYE payroll.

Who This Guide Is For

This guide is for PAYE Umbrella Contractors on the Umbrella Employee or Umbrella Director plan. You are an employee of the Paytube umbrella company and bill for work by submitting a timesheet in the portal - not by raising your own invoice.

You do not need your own limited company or sole trader registration to work on this path. If you were onboarded as a Freelancer and must submit your own invoice as well as a timesheet, see our separate guide: How Invoicing Works for Freelancers on Paytube.

Why You DO NOT Invoice the Client Directly

Under the PAYE umbrella model - whether you are on the Umbrella Employee plan or the Umbrella Director plan - you are an employee of the umbrella company. Your day rate and contract length are agreed when you join the assignment. Your agency or end client contracts with Paytube; you perform the work and submit your timesheet through the portal. Paytube raises the commercial invoice to the client or agency from those committed terms.

That is why client and agency information is read-only in the contractor portal - Paytube maintains the billing relationship and must keep invoice details accurate for VAT, credit control, and contract compliance.

Submitting Your Timesheet

When you have completed a period of work, submit your timesheet in the Paytube portal with the hours or days worked, the relevant dates, and any reference your agency or client requires. The figures should match what has been approved on site and align with your agreed day rate and contract length.

You do not use Create Invoice on the PAYE umbrella path. Timesheet submission is the trigger for Paytube to review the assignment, raise the client invoice, and link payment to your payroll once received.

From Timesheet to Pay

After you submit a timesheet, the umbrella billing and payroll flow typically follows these stages:

Client Details and Changes

The client name, agency name, and billing contact shown in My Profile are used on every invoice Paytube raises for your assignment. Umbrella Employees and Directors cannot edit these fields directly. If your agency changes, a new contact email is required, or billing should go to a different entity, contact Paytube support so an administrator can update your client record.

If My Profile shows no client, speak with onboarding before submitting a timesheet - billing cannot proceed without a linked client or agency.
